Job Description

The Big Picture: our ideal candidate is a remarkable combination of a CSS wizard and a Drupal theming pro, with strong skills in Drupal development. Good design sensibility is essential, lead designer skills are a serious bonus. This position will test your aesthetic and user interface design skills from start to finish.

The exact job will depend on the skills of the perfect candidate, but one thing is for sure: your work will be diverse and ever-changing. You might start your week churning out beautiful CSS to match a design, move on to custom developing a Drupal site, and finish your Friday with a little Flash animation.

You may be asked to design wireframes, prototypes, or be tasked to design multiple website concepts, buttons, and banners. You could be asked to maintain client websites and give technical training when appropriate, and will be called on to participate in peer reviews of our website projects to improve the quality of our work.

The title is "office manager" but this person will get to spend 1/3 of their time doing client work with Communicopia's diverse and inspiring clients. (If I knew anything about accounting, I would have been interested myself.)

JOB POSTING ::  OFFICE MANAGER
 
This is a challenging and relatively diverse position that combines general office management / reception tasks with project financial record-keeping, making you the hub of our small office. While the core responsibilities are typical of office management, the right candidate will have an opportunity to learn more about our industry with the potential to directly support our senior strategists on projects and our client’s online sites and communities.

JOB ROLES AND RESPONSIBILITIES

This is not your normal admin job for a boring company – Communicopia is a small but influential firm working at the leading edge of social change, corporate sustainability, and Web 2.0. The position is 1/3 office management, 1/3 accounting support, and 1/3 flexible in support of senior staff or client needs. With a strong degree of independence and responsibility, you will need to work fast, communicate well, be engaged in our work, and be willing to learn.

Responsibilities include:
Ø       Management of the our automated project billing system; ensuring client records are up to date, and invoicing clients regularly
Ø       Answering questions and providing reports relating to project budgets, billing inquiries, change orders, and supporting the project teams in project administration
Ø       Answering phones, greeting office visitors, and ensuring the professional look, functionality, and presentation of our office
Ø       Maintaining filing systems, assisting with meetings, travel schedules, and logistics
Ø       Leading special projects such as creation and implementation of new office systems
Ø       Supporting senior strategists with client work (documentation from client projects, research to support consulting engagements, learning our site metrics tools and supporting client website traffic reporting, online community management)
 
 
SKILLS AND EXPERIENCE REQUIRED
 
You are a highly structured thinker: you appreciate creativity but your gifts are building systems to create efficiency. You are a great listener, have boundless initiative, and love finding out what people really need and helping them get there.
 
Ø       A minimum of 2 years office management experience
Ø       Some knowledge of accounting software (Simply Accounting)
Ø       Intermediate- to –advanced- level skills with Excel and Word
Ø       Strong organizational skills
Ø       Ability to work in a fluid team-oriented environment with minimal supervision
Ø       Capacity to multi-task, balancing multiple priorities and interruptions
Ø       Experience with and interest in online communities and social networking
Ø       Understanding of and interest in corporate sustainability / corporate social responsibility and non-profits or social change a strong asset
